First In Systems (“First In Systems,” “we,” “us,” or “our”) provides an AI enrollment agent, website chatbot, and automated lead-capture and lead-response messaging for CDL and driving schools. This Privacy Policy explains how we collect, use, store, share, and protect information when you visit our website, chat with our AI enrollment agent, submit an inquiry through a school using our service, exchange SMS or email messages with us, or send a direct message to a school’s connected Instagram account.

Information we collect

We collect the following categories of information:

  • Contact information you provide directly — name, mobile phone number, email address, and any details you include in an inquiry form or SMS reply.
  • Inquiry information — the school you contacted, the program or course you asked about, scheduling preferences, and similar details needed to respond to your request.
  • Communications — the content of SMS messages, emails, and call records exchanged between you and the school through our platform.
  • Chat and AI enrollment agent conversations — the messages, questions, and information you share when you interact with our website chatbot or AI enrollment agent, including the full conversation transcript and any details you provide to book, reschedule, or ask about a program.
  • Instagram direct messages— when you send a direct message to a school’s connected Instagram professional account, we receive, through Meta’s Instagram API, the content of those messages, your Instagram username and display name, your Instagram-scoped user ID, and message timestamps, so the school can read and reply to you.
  • Technical information — IP address, browser type, device type, referring URL, and basic analytics data collected automatically when you visit our website.

How we use information

We use the information we collect to:

  • Respond to your inquiry on behalf of the CDL or driving school you contacted.
  • Power our AI enrollment agent and website chatbot — to understand your questions, generate replies, answer questions about a school, and help you book, reschedule, or cancel an appointment.
  • Send transactional SMS and email messages, including initial responses, appointment confirmations, reminders, and follow-ups.
  • Receive, display, and reply to Instagram direct messages sent to a school’s connected Instagram account — including replies sent by the school’s staff and by our AI enrollment agent.
  • Provide customer support and answer questions about the messaging program.
  • Operate, maintain, secure, and improve our service.
  • Comply with legal obligations and enforce our terms.

SMS and mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories listed above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Phone numbers and SMS content are used only to deliver the lead- response service on behalf of the driving school you contacted, to provide customer support, and to comply with applicable carrier and regulatory requirements (including the TCPA and CTIA guidelines).

AI enrollment agent and automated chat

Some of your interactions with First In Systems are handled by automated systems, including artificial intelligence. When you use our website chatbot or AI enrollment agent, your messages are processed by our service and by trusted third-party AI providers to interpret your request and generate a response.

  • Human takeover. Conversations may be reviewed by, or handed off to, staff at the driving school you contacted, who can step in and continue the conversation at any time.
  • AI providers. We use third-party AI services to process conversation content and generate replies. These providers act on our instructions under contract and are not permitted to use your information to train their own models for unrelated purposes.
  • Accuracy. Automated responses can be incomplete or incorrect. Important details — such as pricing, schedules, and enrollment requirements — should be confirmed with the school directly.

We do not use AI to make legally significant decisions about you without human involvement.

Instagram messaging

Schools that use our service may connect their own Instagram professional account so they can manage their Instagram direct messages inside First In Systems. We access Instagram messaging data through Meta’s Instagram API with Instagram Login, and only with the account owner’s authorization.

  • What we access.The direct messages exchanged with the connected account, the sender’s Instagram username, display name, and Instagram-scoped user ID, and message timestamps.
  • How we use it.To display the conversation to the school, let the school’s staff reply, and let our AI enrollment agent answer questions and help schedule appointments — the same way we handle SMS and email conversations.
  • Meta Platform compliance.Our access to, use of, and transfer of information received from Meta’s APIs adhere to the Meta Platform Terms and Developer Policies. We do not sell Instagram data, use it for advertising, or share it for any purpose other than providing this service.
  • Disconnecting and deletion. A school can disconnect its Instagram account at any time from the integration settings, which removes the stored access token and stops further message access. You may also request deletion of Instagram data we hold using the contact details below.

Google user data

Where our service connects to Google Workspace (for example, to send email or manage calendar appointments on your behalf), we access that data through Google APIs and only with your authorization.

First In Systems’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use and transfer of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google Workspace data to develop, improve, or train generalized or non-personalized AI and/or machine learning models.

How we share information

We share information only as needed to operate the service:

  • With the driving school you contacted, so they can follow up with you, enroll you, or provide the information you requested.
  • With service providers who help us run the platform — for example, Twilio for SMS delivery, our email provider, our hosting provider, our scheduling tools, Meta for Instagram messaging, and the third-party AI providers that power our chatbot and AI enrollment agent. These providers are bound by contract to use information only to provide services to us.
  • When required by law, such as in response to a subpoena, court order, or other valid legal process.
  • In connection with a business transfer, such as a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

Data retention

We retain information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your information at any time using the contact details below.

How to request data deletion

You can have the information we hold about you deleted, including any Instagram messaging data. To request deletion:

  1. Disconnect Instagram (for connected schools). In First In Systems, go to Settings → Integrations and click Disconnect on the Instagram card. This immediately removes the stored Instagram access token and stops any further access to your messages.
  2. Email us. Send a request to matt@firstinsys.com with the subject “Data deletion request” and the Instagram username, phone number, or email address associated with the data. If you message a school on Instagram, include the Instagram handle you used.

We will delete the requested data from our systems within 30 days, except where we are required to retain it to comply with a legal obligation. We will email you to confirm once the deletion is complete.

Your choices

  • SMS opt-out: Reply STOP to any message to unsubscribe. Reply HELP for support.
  • Access, correction, deletion: Email us to request a copy of the information we hold about you, to correct it, or to delete it.
  • Email opt-out: Use the unsubscribe link in any marketing email, or contact us directly.

Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. No system is perfectly secure, however, and we cannot guarantee the security of information transmitted to or stored by us.

Children's privacy

Our service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can remove it.

Changes to this policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a new revision date. Continued use of the service after changes are posted constitutes acceptance of the revised policy.
